By completing this contact form, you agree to darrenwestonphotography.com contacting you about our services. You will not be added to any mailing lists and will only be contacted by darrenwestonphotography.com personally about your enquiry. Your details will not be added to any client or studio management software, will not be used for any marketing purposes, nor will they be passed on to any third parties. They will only be stored in the email generated by this contact form, which will be filed in the email account for darrenwestonphotography Photography which is hosted by squarespace and which can only be accessed by darrenwestonphotography.

EMAIL MARKETING
Occasionally, emails will be sent out with album discounts or promotional offers relating to other photography shoots.
This is never more than twice a year.

CLIENT GALLERIES
We create a client gallery for each client to whom photos are delivered as part of the services contracted. Our client galleries are externally hosted by Shootproof . Their privacy policy can be found here https://www.shootproof.com/legal/privacy-policy
To visit your gallery you will be required to enter personal data (namely your email address) and a password. Your data (email address) will be stored within Shootproof’s system, on their servers and will be used to email you up to a maximum of four times and only with information relevant to the client gallery you have accessed, e.g. to inform you of a discount offer on gallery purchases. Any such emails sent to you will only be during the 12-month period for which the gallery is live. After 12 months has passed since a gallery was created it is automatically deleted and your personal data (email address) is completely removed from Shootproof’s system.
Only DarrenWestonPhotography will have access to your data (email address) stored on Shootproof’s system on behalf of us. It will only be used as detailed above, will not be used for any other marketing purposes and will not be passed onto any third parties. Shootproof’s technical support team will have the means to access to your personal data (email address) but will never access or share this data other than by request from us.
By logging into your client gallery, you are agreeing to opt in to receive relevant, gallery-specific emails as described above. Some emails are automated, so if you do not wish to receive such emails, it is advised that you inform us via our contact sheet.
If you wish to request for your personal data (email address) to be deleted from Shootproof’s servers, please email us.

CLIENT DATA HELD ON FILE
We take care of the processes around looking after personal data stored on our physical systems. darrenwestonphotography holds the following personal data of clients:
names
addresses
phone numbers
Client photos are safely stored within my password-protected Laptop and backed up to two password-protected NAS systems. An additional cloud copy of all images is stored on GDPR compliant Google Drive.
CLIENTS AND WEDDING GUESTS CAPTURED IN PHOTOS
Under GDPR legislation, a photograph may in some instances constitute a form of personal data where they can be processed to allow “the unique identification or authentication of a natural person”. We will never photograph an individual as a means of unique identification or authentication unless consensually contracted to do so. Guests at weddings appear in photos taken by us as part of the visual recording of the event. Guests captured in portraits or group photos do so as part of the event, and their rights are protected by us as detailed in this privacy policy.
In terms of explicit GDPR compliance, wedding clients and guests are photographed within the parameters of GDPR legislation based on ‘legitimate interests’. The taking of photographs of wedding guests when viewed as a form of processing personal data is necessary for the legitimate interests of DarrenWestonPhotography as a photography business unless there is a good reason to protect a given individual’s personal data which overrides those legitimate interests.
Operating within the parameters of legitimate interests as laid out in GDPR legislation, the disproportionate effort involved in providing privacy policy information to all wedding guests at the event and the degree to which it would distract us from performing our job renders it infeasible to do. Wedding clients are therefore requested in their contract to direct their guests to read this privacy policy in advance of the event and to advise them to contact us in advance with any concerns around the processing of their personal data, namely being photographed.
WITHDRAWAL OF CONSENT
Anyone photographed by DarrenWestonPhotography, whether a client or wedding guest, and whether past or current may withdraw consent for a photograph in which they appear to be displayed. The process for this is to email us at djwphotographyuk@gmail.com
SOCIAL MEDIA POLICY & USAGE
We adopt a safe and responsible Social Media Policy. While we may have official profiles on social media platforms users are advised to verify the authenticity of such profiles before engaging with, or sharing information with such profiles. We will never ask for personal details on social media platforms. Users are advised to conduct themselves appropriately when engaging with us on social media.
DISPLAY OF IMAGES
We may display any photographs to promote the business on our website and blog, on social media, on wedding blogs, on wedding photography related websites, in exhibitions, in advertising, brochures, magazine articles and other such material, providing that the images used are used lawfully and without damage to the business. The rights of the people captured in these photographs are protected by us as detailed in this privacy policy.

On the rare occasions where things might occur or do not go according to plan we will work with you to ensure we get back on track.
Payment T+Cs
Given the nature of wedding planning and preparation, we will request a small deposit to secure our time together. This is non-refundable should you wish not to proceed with our booking at a later date.
However, where the need arises to postpone a booking with the view of rebooking at a later date, this is accepted provided I am available on this new date.
Payment methods can include bank transfer, cash, or via chip/pin; however, this will be preceded by an invoice for services by me.
I will not offer reduced rates for cash payments.
For bookings not in the same calendar year of enquiry, a percentage increase package fee will be applied in line with inflation, to a maximum of 8%.
A deposit is required at the time of booking, with the balance of the agreed fee payable IN FULL 7 days before the booking date.
I have the right to decline any booking at time of enquiry without prejudice or causing offence.
Darren Weston Photography is fully insured, with documents being available on request (sometimes venues require PLI evidence).
Having undertaken wedding photography for several years now, it has never been necessary for me to cancel a booking. Should this be the case a full refund of monies paid, will be issued if I cannot find a replacement photographer.
I can offer a client contract upon request if you would prefer.

We know you want to see your wedding pictures as soon as possible.
Invariably there will be some editing to occur after the big day has finished. This takes time and cannot be rushed.
Generally, we aim to supply your wedding photos within 7 days of your wedding date. Rarely, during busy periods, this might be longer however, we will discuss this with you at the time.
Images are shared digitally via a secure sharing gallery hosted by SHOOTPROOF - this is a recognised industry standard means of safe sharing and is used by photographers all round the world.
You, the client, retain the right to request further editing to personal taste after the gallery has been supplied.
Please note that I cannot be held personally accountable for extended timings on your special day for reasons beyond my control e.g. Bridal makeup artist overruns or weather issues etc, but rest assured, as wedding professionals, we will do our best to get your timings back on track.
